How to manage multiple contents (portals) within the new portal

⏩ Summary: With this configuration, you can create multiple portals within the new portal, where each page will be a new portal with individualized permissions for each one, allowing greater control over the content available in your organization.

How to create a page (sub-portal)

Pages can be considered sub-portals, organizing your content into different categories, such as IT Support, Human Resources, Travel Requests and Reimbursements, Customer Support, among others.

Your new portal already comes with three example pages. Click on each of them and edit as you prefer.

To add more pages, click on + Add Page on the left side of the screen. Give it a name, write a brief description, choose a cover photo, and add alternative text for accessibility.

To delete a page, hover over the page name in the left side menu and click on the three dots that appear. In this menu, you can rename, duplicate, or delete the page.

Editing sub-portal permissions.

With this new feature, the main portal (Item 1 in the image) can have its permission set as Public for anyone with the link or Restricted to the organization. Regardless of the permission set in the main portal, the sub-portals (Item 2 in the image) can have customized permissions, each different as needed.

To edit the permission of a sub-portal, simply open the desired sub-portal and click on the Share button in the upper right corner.

The available options for each sub-portal are:

- Restricted to selected people

- Restricted to your organization

- Public for anyone with the link

Remember that you can create as many sub-portals as you want, respecting the limit of up to 50 sub-portals, and each one can have a different permission.

After creating a sub-portal, customizing it according to your needs, and setting the access permission, this sub-portal must be published in the main portal for it to be visible to users. While the sub-portal is not published, it remains visible only to portal administrators in edit mode.

To publish the page (sub-portal) you just created, return to the main portal through the left side panel (the main portal will be the first option on the list). Add the Page element in the main portal and select which sub-portal you want to publish. Once done, the page is published and will be displayed to portal users according to the defined permission. Repeat the same steps to publish any other pages you desire.


Now that you know everything about how to manage multiple portals within the new portal, start editing and sharing!

With a more organized and complete portal, everyone will be able to make requests more efficiently. Additionally, all requests made through the portal can be easily tracked in the Tasks and Requests area of Pipefy.
