⏩ Summary: Default Values allow you to prefill form fields with specific data, speeding up form completion and reducing errors. You can set fixed values or dynamic values. This feature is useful for automatically filling out repetitive information and customizing forms for different contexts.
When handling multiple requests, every second counts. Imagine being able to automatically populate specific fields or even distribute multiple versions of the same form in a Portal or Interface. Now, you can do that with Default Values!
What are Default Values?
Default Values enable you to prefill one or more fields with specific data. When accessing this form, these fields will already contain the values you choose, such as the user's name or email.
Accelerate form completion
Enhance searchability for easier requests
Minimize errors in your process
Examples:
Automatically Prefilling User Information
If a form requires a name and email, you can set those fields to capture the logged user's details automatically — no more typing in the same information repeatedly!
Multiple Versions of the Same Form
A Human Resources pipe might cover various request categories such as PTO, benefits, and position changes. In the department's Portal, you can add the same form multiple times, each one for a different need (e.g., "PTO Request") by setting default values.
Similarly, in Procurement, instead of requesters manually selecting "Office Supplies," "IT Equipment," or "Maintenance Services" from a list, you can set up default values so that the form automatically appears with the correct category for that context.
How to Use Default Values
It only takes a few steps to set up:
1. Go you a Portal or Interface in your Pipefy organization
2. Click "Edit"
3. Drag the "Form" element to your page
4. Select "Default values" in its configuration panel
5. Choose an existing field to be prefilled
6. Depending on the field type, you can add fixed or dynamic values
Fixed values
All users will see the same value. Great for pre-selecting an option from a dropdown, checkbox, or radio select.
Dynamic values
Each user might get a different value depending on the source. Great for capturing the user's name or email.
That's it! The next time someone uses that form, the selected fields will already be filled out with your preset values.
