In Pipefy, you can create automations to perform different actions whenever a card enters a phase of a process. For example, when a card reaches the Approval phase in a Purchasing Process, the requester will receive an email to let them know that the purchase request is under review.
This way, you can create fluid processes that guarantee the agility of the operation and avoid manual errors. Let's see how to set up this type of automation!
How to create the automation
Click the Automate button located in the upper right corner of the pipe. Then Create Automation.
On the left side, we have the trigger option When a card enters a phase. Select this option and define the phase in which we want the automation to take place. On the right side, we choose what the automation will do after the card enters the phase.

1. Create a new card or record
Every time a card enters a phase, whether by moving it from another phase or if it's created through the start form, an automation creates another card. Another option is to create a new connected record in a database after a card enters a specific phase.
2. Create a new connected card or record
Every time a card enters a phase in pipe 1, another card will be generated, with the same information, in pipe 2. What you fill out in fields automatically updates the data in both cards. Another option is to create a connected record in a database, which will pull information related to the connected card.
3. Move the parent card
The parent card is a card that contains other cards attached to it. In this automation, every time the attached cards are moved to a phase, the parent card is also moved to a phase.
4. Update a field's value
Every time a card enters a phase, a field that's in it will be automatically updated with the information you want. For example, an Urgent label or an assignee.
5. Move card
Every time a card enters a phase or is created through the start form, the automation automatically moves it to another phase.
6. Send an email
Every time a card enters a phase, send an email template to an assignee or to the person that created the card. For that, you must have created an email template (or, create one from scratch).
Once you choose an event and an action, give your automation a title and click on Create automation. Congratulations, the automation is set! Now, we recommend you test this automation. As a test, move a card to the desired phase to check what happens.
