How to assign overdue demands to your team manager automatically

Use automation rules to escalate demands when they become overdue

Avoid delays in deliveries by notifying your manager with automations in Pipefy when a task becomes overdue. With an automated escalation process, whenever a task/card becomes overdue, you can automatically bring it to the attention of the manager or another team to ensure it'll be taken care of.

Before creating the automation

Create an assignee select field in the first phase of your pipe (you can add it to the start form if you wish, just make sure it's able to be edited in other phases). Also, make sure all your tasks have a due date field — you can guarantee this by adding a mandatory due date field.

📌 Remember: You must be a pipe admin to set up automation.

How to set the automation

Go to the pipe where you want to create the automation and click on the Automation button located in the header of the pipe. Click Add new automation.

Click Create new automation.

Select the event When an alert is triggered in the left column. The type of the alert must be an overdue alert. On the right column, choose the action Update a field’s value and select the person who will be assigned to these overdue tasks.

Name and save the automation! From now, every time a card becomes overdue, it'll automatically be assigned to a specific person from your team.

📌 Attention: Consider the number of automation jobs while setting up automation rules. Each Pipefy plan has its automation job limits. Learn how Pipefy counts automations in your plan.
