The new portal features a centralized search field and makes it easier to share content like videos and documents, providing a more intuitive and efficient navigation.
The old portal will be deactivated on September 30th, so migrate all content to the new portal before this date.
1. Why should I use the New Portal?
The new portal was developed to be the central point for collecting requests and useful information for employees, customers, and suppliers. Check out the main benefits:
Information Centralization: With a centralized portal, you offer a better experience for requesters, who can access all available services in one place.
Form Access Security: The new portal, combined with new form permissioning options, offers even more secure access, allowing you to segment access to each form by groups and users.
Fewer Interruptions: Analysts won’t need to interrupt their activities to answer questions that are already answered in the portal, saving time and avoiding the need to share documents and links through unofficial means.
✨ Your Brand in the Spotlight: The new portal offers more customization options, like a customized cover, images, and videos, enhancing the experience you provide to your requesters.
2. What changes compared to the old portal?
The new portal offers a more consistent experience for both requesters and administrators, especially in terms of access security. Some of the main changes include:
Form Display: The same portal can be accessed by different users, but each will only see the forms they have permission to view. ou can check more details in the article How to share forms.
Search Field: The search field is now a central element for finding information and forms. Even forms not added to your portal can be found by users, always respecting the previously defined viewing permissions within the pipe.
Content Sharing: In addition to forms, you can share videos, images, and links with useful information such as documents, policies, web pages, systems, etc.
3. When will the old portal be shut down?
The old portal is officially scheduled to be shut down on December 20th. You have until this date to migrate all content to the new portal. After this date, the old portal will no longer be available.
If you’ve already migrated the content to the new portal and wish to shut down the old portal early, the company administrator will soon be able to do this.
4. What are the main tips for an easy and quick migration?
We’ve prepared a checklist to help with the migration of content to the new portal:
Review content from old portals: Transfer only the portals that are active in your company. Identify the portals that are still in use and start building them in the new portal.
Customize the new portal: The new portal offers a pre-built template to facilitate the organization of information. Check out this article for more details on all available features. ou can check more details in the article How to configure the new portal.
Check form permissions: Review the permissions of the forms added to the portal, especially restricted ones, to ensure they are displayed correctly.
Set portal permissions: Choose between "Public" or "Everyone in the company." The second option includes only logged-in Pipefy users, including free guests.
Shut down the old portal: Once your new portal is ready, wait for the official shutdown of the old portal scheduled for September 30th.
Communicate the team about the new portal: Inform your team about the new official request collection portal.
💡 Tip: For each existing portal in your organization, use sub-portals (pages) to organize content by department or topic; this article will help with that process.
