How to enable/create Connections?

You can enable/create Connections between your processes in two ways: enabling Connections via the pipe's settings or creating a Connection Field. 

What’s the difference? 

The difference is that the Connections feature, configured in the pipe's settings, can be used to create 'child cards' from every phase of your pipe

A Connection Field, on the other hand, belongs to a specific phase of your process. Therefore, it will be displayed alongside all other Fields on this phase and can be seen as a rule, or a necessary step to be taken before a card can move forward. 

Connections (Settings)

If you enable the the Connections option in your pipe's settings, you enable creating connected cards from every phase of your process. 

You can think of these connected cards as 'subtasks'. For example, if you have an active Sales Pipeline you can create a Connection to a 'phone calls' pipe where each connected card would represent a phone call made to a prospect (at any point of a your Sales process). 

You can enable 'Connections' on a pipe by accessing your pipe’s  settings by clicking the gear icon on the upper right corner of your screen. Choose the 'pipe settings' option the scroll down until you find ‘Connection’.

 Access 'Connections' and click 'Create new connection'. The following screen will pop up: 


First, you'll give your Connection a name. In the mentioned Sales Pipeline example, I would name it ‘Make a phone call’. After that you'll select the pipe you want to connect your process to by choosing it on the options on the dropdown menu. 

All your team's processes will be displayed. Right now, I selected the Phone Calls pipe I created to keep track of my sales calls. 

After that, there are two important settings: connection function and number of entries. The connection function determines if you wish to:

  • Search cards - This option allows you to search the existing cards on the pipe you're connecting to and link them to a card on the parent card; 
  • Create cards - This option allows you to create new cards on the connected pipe by filling its Start Form
  • Search and create cards - As the name states, this option is a combination of the other two options, allowing you to search and link existing cards or create new ones.

The number of entries relates to the amount of children/connected cards can be linked/created to the parent card. 

After you've set this up, you'll have the option of unfolding the "Advanced options" where you'll find five different rules you can turn on or off:

  • Creating connected cards is a requirement before moving this card to the next phase: This means that creating/linking to a card using this connection is mandatory before the 'parent card' can be moved to the next phase;
  • Creating connected Cards is a requirement for the parent card to be done: This means the 'parent card' will only be allowed to be moved into a “done” phase if you create a connected card using this connection;
  • All connected cards must be done before moving this card to the next phase: This means that all the connected cards you’ve created/linked must reach a final phase of the pipe they're in before the 'parent card' can be moved to the next phase;
  • All connected cards must be finished before the parent card can be done: This means that all the connected cards you’ve created/linked must reach a final phase of the pipe they're in before the 'parent card' can be moved to a “done" phase.
  • Autofill enables you to fill out fields automatically: When you click this option a pop-up window will open up so you can correspond the fields in the origin pipe to the fields in the destination pipe/database so that they're filled automatically when you create new connected cards/records.

Select the rule(s) that suits your process best, click save and that's it! Your connection is activated! 

Let's see how we can use the connection, then? My prospect reached the ‘Discovery’ phase and I want to make a phone call to better identify his/her needs and analyse how hot the opportunity is. 

I'll open this prospect's card and click on the 'Make a call' button on the top of my card (represented by the icon of the pipe I setup the connection to and the name I gave the connection), 

When I click on ‘Make a call’, the Start Form of the Phone Calls pipe will appear: 

All we have to do is fill out the Start Form, click "Create new card" and we're done! A new card was created on our connected pipe without having to access it. 

And that's not all! 

When opening the parent card, you can immediately access all connected cards on the left side panel to keep track of them. You can see that Carolina is currently at the Inbox phase of my Phone Calls pipe. 

If I’m interested in keeping track of the progress of my child card, I'll simply click on it and see what’s going on. 

If I want to open the card directly on the child pipe to work on it, all I have to do is click ‘View record’ to be redirected to the connected pipe. And the good news keeps on coming: you can also view the progress of the parent card from the child card!

You can also view your connected cards using a shortcut on the closed card. Your most recently created/linked cards will be shown to you. You can also add a new card by clicking ‘Add new’, or view all cards connected to this card by clicking ‘View all’. 

Pipefy Tip: Did you know there’s a shortcut for creating connected cards without even opening the card? After enabling the connection, simply click on the grey arrow on any closed card and add a new connected card from there. 

Connection Field

If you have a process that demands cooperation from another process from a specific phase and you want to add the option of creating/linking cards as a part of that phase (as any other Field), a Connection Field is what you need. 

In order to make it easier for you to understand how this field works, I'll exemplify it using a purchase process. 

In this process, when a card reaches the 'purchasing' phase, I must necessarily create a connected card on accounts payable so that the order can be paid and processed.

We can create a new Connection Field by opening a card that's currently in the phase we want to create the Field on, scrolling down the right side of the open card and clicking on ‘Add/edit fixed fields in this phase’.

After you do, here's what you'll see:

Choose 'Connection' and start setting it up. The fields are very similar to the ones we've filled when setting up the connection from the pipe settings.

First, give your Connection a name. In this case, I'll name it ‘Create account payable’. Then, select the pipe you want to connect this process to by selecting it on the dropdown menu. All your Team's pipes will be listed. 

I chose the Accounts Payable pipe. After that, there are two important settings: connection function and number of entries. The connection function determines if you wish to:

In my case here I want to determine that the 'accounts payable' request must to be paid before I can finish my purchasing process so I opt to turn rule 4 on. 

After you're done, fill out the field description, set it as required (or not), and fill out the help text (optional). Click save and there you have it, your Connection Field is created!

Click ‘Create new card’ :

As we've set it up, we can either search for existing cards, choose one and link it or create a new card by clicking ‘Add new’. 

Your connected pipe's Start Form pops up and can be easily filled out. After you do that, your connection is active. You can see that on the right side of the card (listed under the Connection Field) and on the panel on the left side of the card:

I can keep track of my child card's progress by clicking on it on the connections tab or under the Connections Field.

If I wish to open the card directly on the child pipe, I click ‘View record’ to be redirected to the Connected pipe. I can also view the progress of the parent card from within the child card!

You can also view the connected cards on the closed card view. Click the blue arrow (that shows that a connection has been used) and the following screen will pop up:

From there, you can add new connected cards or view all connected cards.
