Summary: Learn how to access the Admin Panel area and review all available information for your company.

In order to bring more visibility, transparency, and governance to your operations within Pipefy, you (as a company admin)can access the Admin Panel to review various data on your organization’s activities and usage.

How to access the Admin Panel

To access it, simply click on your profile picture located in the upper right corner, and then select Admin Panel.

The first tab you'll see is General. On the left side, you can find the following options: Financial, People & Permissions, Usage Statistics, Activities, and Email Settings. Let's go through each one!

General

In the General tab, you can change the organization's name, upload a new company logo (JPG, GIF, or PNG), choose whether or not to display the Pipefy brand on process headers, and the Powered By Pipefy on forms and portals (available only for Enterprise plans).

Additionally, you have the option to display or hide time markers on cards (showing how long the card has been in the pipe, phase, or last updated).

Billing

In the Billing tab, you can access billing information for your Pipefy subscription. Here, you can check details of your plan (costs, number of users, renewal date) and request an account upgrade if desired.

Click the Upgrade button to change plans or purchase automation add-ons, called APIs, or contract custom integrations (available only for Enterprise plans).

If you choose, you can also cancel your subscription here. Just click Cancel and fill out the form that appears on the next screen. You can also change the payment method at any time and download invoices from past months.

Members & Permissions

In the Members & Permissions tab, you can manage various user-related settings for the organization in one place.

Members

On the Members tab, click Invite members to add them to your company. Enter the email address of the person you want to add, and then click Send invite.

Next, choose the user permission level (administrator, member, company guest or external guest). To learn more about permissions in Pipefy, click here.

Roles

In the Roles tab, you can manage user roles and create personalized escopes, enable access to specific areas of Pipefy, and have more governance over access and shared information. To learn more about custom roles, click here.

Groups

In the Groups tab, you can efficiently manage users, saving time by centralizing the assignment of permissions and responsibilities.

To create a new group, click the button Create group.

Then, go to Add members to this group and add all the users you want. That's it! Your group has been created and will appear in the right corner of your screen.

Suggested Invites

In the Suggested Invites tab, Pipefy identifies your frequent requesters and makes it easier to add them to your organization, helping you gain greater visibility into who they are. Simply click the Invite All or Invite button to call them to your organization.

Usage Stats

In the Usage Stats tab, you can check various information on how users have been using Pipefy within the company account. Let's go through each topic together.

Pipes

In the Pipes tab, you can review general data about your organization's processes:

  • Pipe Name

  • ID

  • Creation Date

  • Created by which user

  • Last Updated Date

  • Members

  • Cards Created

  • Cards Completed

  • Automations

  • Conditionals

  • Reports

You can also enter specific information you wish to find and download a report if needed.

Automations

In the Automations tab, you can review data about your company's various automations. You can find the number of tasks processed in the current month and the number of AI automation tasks. It's worth noting that the information presented here is updated every 5 hours.

You can also extract automation reports from the last three months, view usage charts of automations, and check details such as processed tasks, status, origin pipe, and events and actions of each configured automation.

API Calls

In the API Calls tab, you can check the number of calls processed in the current month and download reports. Keep in mind that the data is updated every 5 hours here.

Users

In the Users tab, you have an overview of the total number of users, whether they are paid or free users, all in one place. If you wish, simply click on Manage people to be redirected to the People & Permissions screen.

Activities

In the Activities tab, you have information about everything happening within your Pipefy account, regardless of the process. This includes created cards, issued alerts, updates from Pipebot, deleted cards, and other relevant information.

Emails Settings

By default, Pipefy uses the address @mail.pipefy.com to send all emails from the platform. If you have an Enterprise subscription, you can send emails using a custom email address and not just the random pipe address. This is what we call SMTP configuration.

In the Email settings tab, you can make this type of change. Click Add custom email to add the SMTP host, port and other information to configure a custom email.

That's it, now your emails will be sent from a customized address.
