How to import data from spreadsheets

Transfer information into cards or databases with the Importer app. No coding required.

Working with spreadsheets can be difficult to control and easily outdated. To work with data in one place, import your data into your process in Pipefy.

The Importer app makes it easy!

How to access the Importer?

First, you have to activate it inside your pipe. Click on ToolsApps, and select Importer. Click on enable, and you're ready to start!

Open the app to begin, and choose where to import your spreadsheet file: to a pipe or to a database.

In New Import, drag and drop or select your spreadsheet from your file folder. The last step is to combine its columns with the pipe's or database's fields and start importing.

The Importer App works with .XLSX format.

Once you start importing, the Importer App creates a new card or record for each row in the spreadsheet.

Each column corresponds to a field in your pipe’s forms or database. This is why it's so important to match columns and fields properly during the setup.

When to use the Importer?

Use it anytime you want to save time by adding great volumes of information to Pipefy, for example:

  • Lists of potential customers

  • Product catalogs

  • Series of suppliers

  • Lists of employees or candidates

Enable the Importer App

📌 Only users that have pipe admin permission can enable the Importer App.

Click on the tools icon, then select Apps.

Click on Importer.

Then, enable it.

After that, you will see the Importer icon on the pipe's header.

Preparing a spreadsheet for importing

Check the field types in your form. If it has a numeric or currency field, the corresponding information in the spreadsheet cannot contain letters.

Pay close attention to phone numbers, zip codes, and ID numbers to ensure they’re accurate. Also, email addresses must also be in email format.

Your file also can't contain any filters applied or any merged cells. Blank cells will appear as blank fields in Pipefy.

To import due dates, assignees, or labels, ensure your pipe has those fields.

How to import, step by step

Click on the app's icon to start.

You can import data into:

After selecting one of these options, click on new import.

You can either:

  • Drag and drop an XLSX file into the Importer

  • Or, click on it to select a spreadsheet.

After uploading your file, it's time to match columns and fields.

You can import data to any field, as long as it's not mandatory.

In case you don't want to import it, skip columns.

Once the matching is done, click the button import cards.

Please, wait a few minutes before checking it on your pipe or database. Pipefy can only import data into one pipe at a time.

New cards will not appear while importing. For that, refresh the page.

After importing, you can close this window and wait for the confirmation email.

Other options

Saved imports

Select it to import a new spreadsheet using a previously mapped import.

Once you do your first import, you can save it as a template to use again if you need to do recurring imports to your pipe/database.

History

Use it to view a history of all the previous imports in this pipe and connected databases.
