🎯 For those who want to better govern their Pipefy users

⏩ Content Summary:

Managing users and groups is even easier with groups and users provisioning. With it:

  • If a company user without a Pipefy account attempts to log into Pipefy, they are automatically assigned the status of company guest.

  • Users who have existing Pipefy accounts, do not have guest status, and belong to the Identity Provider (IdP) will have their groups status automatically updated in Pipefy.

  • It is important to emphasize that groups created through IdP cannot be edited directly in Pipefy; the editing can only take place within the IdP.

🔔 Attention: This attribute is only available for companies with enabled SSO (Single Sign-On).

Managing company users can be a big challenge, especially when each individual user’s preferences and settings must be manually adjusted and governed.

With that in mind, Pipefy offers a solution to automatize this process and integrate Pipefy with your preferred Identity Provider (IdP).

🔔 Attention: Only users who have access to the Company’s Identity Provider can perform the actions described in this guide.

User Provisioning

Through SSO (Single Sign-On), users who are both registered in your business’ IdP and do not have an account in Pipefy automatically become company guests when they log into the platform via SSO.

By using this feature, you no longer have to send registration invitations to requesters who do not have Pipefy accounts - Pipefy now registers them automatically.

Groups provisioning

Pipefy will automatically update groups containing your company’s paying Pipefy account holders.

Groups synchronization

This means that groups will be updated within two tools; any time you make a change in the IdP groups, those modifications will automatically be updated in Pipefy when the user next logs in.

This action ensures that the platform remains current and, accurately reflects your organization’s structure and permissions for a consistent, secure experience.

🔔 Attention: Groups created in the IdP are not editable in Pipefy. Edits occur exclusively in the Identity Provider.

Group creation or update

A data sync occurs each time an account holder logs into Pipefy. By doing this, Pipefy creates and updates groups the logged-in users are associated with, according to the IdP’s information.

Groups personalized provisioning

Those with access to the company’s IdP can choose which IdP groups will be provisioned within Pipefy, assuring group flexibility.

How to enable users' provisioning

Make sure Pipefy is integrated into your preferred IDP before applying these changes.

💡 Tip: For those who have not yet integrated Pipefy into an IdP, please read the following tutorials:
