By default, all processes in Pipefy are structured in a Kanban view, an agile methodology that divides processes into phases and tasks into cards to save time and grant full visibility.

A new card is created every time a member or guest user of your pipe fills out a start form. It also happens when someone outside Pipefy fills out a public form. This means that each card is comprised of that form data; it is the information your team needs to begin work on that specific request.

Since each process has a different purpose, a card can represent different things. For example:

  • A purchase order in a Purchase process

  • A candidate in a Recruitment process

  • A lead in a Sales funnel

  • A contract in an NDA request

or any other type of request you or your team need to manage.

Cards typically move to the right in a pipe. For example: when one step of the task is completed, you can move the card to the next phase.

Or, you can move it back to a previous stage if it is on hold.

This action keeps your team aligned and aware of each activity and its next phase in the process.

Anatomy of a card

When in the Kanban view, all cards are closed, visible in a thumbnail view, displaying only basic information about the task.

Once you click on a card , it will open, revealing more details.

Every card is divided into two parts: the left side and the right side.

Left side of the card

1. Title: A description of the task; choose a field from the start form as a title, and edit it however you choose. For example, in a Purchase process, it can be the requested item, while in a Sales CRM, the title can be a lead's name.

2. Assignees: Fill in the name of the person responsible for completing the card.

​3. Due date: Communicates the date the task must be completed. You can leave it blank or change this date as you choose.

4. Labels: A versatile feature that allows you to organize and identify specific aspects of a card, like a subject or priority level, for example. You can change a label’s color and title at any time.

5. Top buttons: Use these for quick access to other Pipefy tools.

6. Start Form and previous phases: Information previously collected via the start form and in previous phases of the pipe.

Right side of the Card

7. Current phase: Communicates the current phase your card is in.

8. Phase form: Information your team must fill out in order to move the card forward to the next process step.

9. Add fields in this form: Click this button to edit the phase form, by adding, moving, or deleting items (fields).

10. Activities: This is a space for comments and a record of everything that happens with the card, including all information updates and changes.

11. Move card to phase: Phases to which you can move the card.

12. Move card settings: Select the phases to which the card can be moved.
