Pipefy Mobile: How users can use Pipefy’s app to access forms and open requests

Learn how company guests and external guests can use Pipefy’s app to find and submit forms for your team.

With Pipefy’s app for Android and iOS, you can access your processes, open requests on mobile devices, such as tablets and smartphones, and check on the progress of requests anywhere.

Company Guests vs. External Guests

If you are an admin user, you can add people as company guests or external guests to use Pipefy’s app and open requests. With the app, users can access forms fast and easily in the palm of their hands.

To invite users and select which forms they have access to, you need to access the desktop version of Pipefy. Check out the differences between the two types of users:

Company Guests

Company guests are typically internal customers, such as employees. When the admin user defines company guests, they can access forms in the app and open requests in shared processes.

This way, you ensure people access the right forms and keep others private. Individuals won’t see information and phases of the process, only the forms chosen by the admin user. But if an admin user grants access, the company guest can also create pipes.

🔔 Attention: If a guest user from the company creates a pipe, they automatically become a member of the company.

To open requests, simply touch the Requests button at the bottom right of the interface. Two options appear at the top of the screen: Submit Requests and My Requests.

In the first option, the user selects the form to send a request. In the second option, the person checks the status of the requests sent where it is possible to view the requests created and in what phase of the process they are in. Information such as phase status, deadlines, and when the card was updated is found here.

If you don't find the form you want when opening the request, just use the search bar at the top of the screen and type the name of the process. After searching for a form, the result is saved in the search bar. Every time you search for forms, the most recent results appear at the top (up to 10 results).

External Guests

External guests are individuals who are not part of your company within Pipefy. They can be suppliers, customers, outsourced professionals, etc. External guests cannot create pipes, automations, databases, or make changes. Also, they cannot become members of your company.

If an admin user grants access, external guests use the app to access forms and submit requests (open cards). External guests don't see company pipes — so don't worry about leaking sensitive and private information.

To open requests, the logic is the same for external guests. Just tap the Requests button at the bottom right of the interface. Two options appear at the top of the screen: Submit Requests and My Requests.

If the external guest does not find the desired form, they can use the search bar at the top of the screen and enter the name of the process.
