Learn how to make the most out of your pipe view and control access and permissions:

  • Customize your pipe’s icon, name, and default view.

  • Choose cards’ titles and subtitles, and connected cards’ subtitles.

  • Define the people who have access to pipes, and specify their permissions.

  • Delete and clone pipes.

How to access Pipe settings

  1. Go to a pipe for which you have admin access and click the gear icon in the top right corner.

  2. Select Pipe settings.

💡 Tip: If the icon is unavailable, check with your company’s Pipefy facilitator to make sure you have admin access.

Available settings

Pipe icon

Choose an icon and color to represent your process. This will make it easier to identify among the pipes list on the home page, portals, forms, connections, and automation.

💡 Tip: Pro users choose icons and color settings to differentiate between their company's departments. You may find it helpful to do the same!

Pipe name

Give your pipe a name that defines the process you use it to manage. Keep in mind that the name will be visible in the pipes list on the home page, portals, forms, connections, and automation.

Pipe object

Objects, by default, are called cards. They represent the demands your team manages inside the pipe. Change the object to identify what your team uses the pipe to do.

Get inspired:

  • Purchase process: objects can be requests.

  • Recruitment: objects can be candidates.

  • IT service management: objects can be tickets.

  • Accounts payable: objects can be invoice.

Card title

Titles help you identify each card. Select a field from the start form to standardize the information at the top of your cards.

📢Keep in mind: If you change the title, it only applies to new cards. All existing cards created before the change won’t reflect the new title.

Card subtitle

Subtitles are pieces of additional information that help you identify specific demands or requests without opening each one. Select the fields you consider to be essential.

💡Tip: You can choose fields from any phase. Remember: cards that haven't been moved into phases with subtitles will not contain those subtitles.

Connected card subtitles

If there are connected cards, you can use subtitles to distinguish them from one another and to quickly preview important information about them. Just select the fields that contain details about related demands.

Create card button text

The text will be used in the button located in the bottom left corner. Choose a name that best represents its purpose for creating cards.

Get inspired:

  • Purchase process: the button can be titled Add request.

  • Recruitment: the button can be titled Submit application.

  • IT service management: the button can be titled New ticket.

  • Accounts payable: the button can be titled Create invoice.

Expired alert

You can set the maximum period of time a card can remain in the pipe until it is completed – the time period can consist of minutes, hours, or days. You can also activate the weekdays only (Monday to Friday) option, which excludes weekends.

💡 Tip: Once you’ve activated this option, all alerts (due dates, late, and expired) will exclude weekends. Learn more about different types of alerts.

Permissions

To ensure data reliability and security, you can limit the individuals who have access to the pipe.

  • Public pipe: all people who have access to Pipefy can enter the pipe.

  • Private pipe: only admins and people added to pipe can enter it.

📢Keep in mind: To add people with roles other than admin, a Pipefy subscription is required. Learn more about pipe roles and permissions.

Cards editing

You can define the users who can edit cards, granting them permission to edit any card, or limit their access only to the ones they’re assigned to by using the Assignee field.

💡 Tip: This setup works better if you create an automation to assign cards to people. Learn how to update fields using automation.

It’s possible to allow only admins to delete cards. Learn how to delete cards.

Start form

You can choose who can create requests in the pipe:

  • Admins, members, and company guests: people with these roles will be able to create requests.

  • External guests: people with this role will be able to create requests.

💡 Tip: You can combine options to configure the process according to your business rules. This includes the ability to add people who can only create requests using the start form and will not have access to the entire process.

Pipe’s default view

You can define the default view of your process. Each user can select a preferred view when they choose. Learn more about pipe views.

Delete pipe

For safety reasons, only pipe or company admins can execute this action after confirmation. Learn more about how to delete a pipe.

📢Keep in mind: Use extreme caution when deleting a pipe from your organization. Once deleted, the action cannot be undone.

Clone pipe

You can copy to the same organization or to others in which you have permission to create pipes.

📢Keep in mind: The copy includes phases, fields, automations, conditionals, and email templates in that pipe. Cards will not be cloned. Learn how to clone a pipe.
